You play a vital role by inviting your friends to join you at this event who want to support Virginia Mason or learn more about us. We have created a toolkit below with email templates, and answers to frequently asked questions to make this a seamless experience for you. Please let us know if you have any questions.

FAQ

This is my first time being a table captain. Where do I start?

It's easy! Each table can accommodate 10 people. Start by thinking about your colleagues, friends and family members who you believe care about transforming and offering excellent healthcare. We recommend reaching out to anyone you think might want to learn about and support Virginia Mason’s service, education and research efforts. If you need additional tables, that’s great too!

If they are unable to attend the event in person, they can still support us by donating to Virginia Mason. You can bring their donations with you to the Dinner, ask them to Donate Online or mail them to: Virginia Mason Foundation PO Box 1930 Seattle, WA 98111.

How do I invite guests?

We have created multiple formats of the invitation, so you can invite guests in the way that is most natural for you: face-to-face, over the phone, via email, mailed invitations or through social media.

If you need printed invitations, please contact events@virginiamason.org and we can provide them.

Once I have my guests’ names, where do I start?

The easiest way is to register them all at once at event registration. Once your guests are registered, we will communicate important need-to-knows as the event draws nearer! If guests are paying for their own seat at your table, please ask them to register online and indicate they would like to be seated with you. 

Or gather your guests’ names, email addresses, and any dietary restrictions they may have, and email it to events@virginiamason.org. 

What if I have a partially filled table?

No problem! Once you've secured your table via event registration, you can always email us at events@virginiamason.org with names as you get them! Just make sure to include their full names, email addresses, and any dietary restrictions they may have. 

If you are not able to fill your table completely, we will work with you to accommodate whatever number of guests you have. If you anticipate having a partially filled table, please email events@virginiamason.org so we can arrange to fill any open seats.

Will I need to send more details to my guests prior to the event?

A few days prior to Swirl we encourage you to remind your table guests that the dinner is coming up and you’re excited to see them there—but know that once your guests are registered, they’ll get an email from Virginia Mason with all the details they need.
