Thank you for your interest in becoming a Table Captain for the Swirl! You play a vital role by inviting your friends to join you at this event who want to support Virginia Mason or learn more about us. We have created a toolkit below with email templates, and answers to frequently asked questions to make this a seamless experience for you. Please let us know if you have any questions.

FAQ

This is my first time being a table captain. Where do I start?

It's easy! Each table can accommodate 10 people. Start by thinking about your colleagues, friends and family members who you believe care about transforming and offering excellent healthcare. We recommend reaching out to anyone you think might want to learn about and support Virginia Mason’s service, education and research efforts. If you need additional tables, that’s great too!

If they are unable to attend the event in person, they can still support us by donating to Virginia Mason. You can bring their donations with you to the Dinner, ask them to Donate Online or mail them to: Virginia Mason Foundation PO Box 1930 Seattle, WA 98111.

How do I invite guests?

We have created multiple formats of the invitation, so you can invite guests in the way that is most natural for you: face-to-face, over the phone, via email, mailed invitations or through social media.

If you need printed invitations, please contact Bely.Luu@virginiamason.org and we can provide them.

Once I have my guests’ names, where do I start?

The easiest way is to share the Event Registration Link so your guests can register themselves online and choose to be seated with you, their table captain. Then, they’ll get a confirmation directly from us.

Or, if you prefer, you can use this Table Captain Name Submission link. This form is an easy way together your guests’ names, mail and email addresses, phone numbers and any dietary restrictions they may have. Once completed, email the form to Bely.Luu@virginiamason.org.

If your guest(s) are paying for their own seat at your table, please ask them to register and pay online.

What if I have a partially filled table?

No problem! We hope that you’ll be able to fill your table(s) but we can work with you to accommodate any number of guests. If you anticipate having a partially filled table, please email Bely.Luu@virginiamason.org so we can arrange to fill any open seats.

Will I need to send more details to my guests prior to the event?

A friendly reminder can be a great help to your guests and is usually appreciated! A few days prior to Swirl, we encourage you to remind your table guests that the dinner is coming up and you’re excited to see them there.

We will reach out to all of the guests that are registered on August 10th. They will receive an email from Virginia Mason with all the details they will need.
